PHAR faced significant challenges in managing its procurement processes due to reliance on manual methods. These methods were time-consuming and prone to errors, causing delays and increasing operational costs. Manual data entry led to inaccuracies in inventory and procurement records, and with a growing volume of transactions from their growing member and supplier base they needed a system which could handle large amount of transactions in the most efficient manner.
They had a hard time finding a digital tool that could streamline and optimize procurement processes, ensuring efficiency, accuracy, and cost-effectiveness. The goal was to provide members with a solution that would facilitate the purchasing for buyers and create a digital catalogue for suppliers to better manage their inventory.
To address these issues, PHAR, has partnered with PowerAPI to create an HORECA marketplace where Swiss hotels and restaurants can now order their daily supplies from a single, online interface therefor facilitating the purchasing experience between buyers & suppliers.
By integrating a digital procurement model they did not need to develop this tool from scratch or step out of their core business, but instead PowerAPI's advanced API solutions provided a platform to automate and streamline procurement activities through a low code integration.
Thanks to the procurement integration PHARS merchants can now:
- Order from their supplier of choice by browsing the different suppliers and categories.
- Make an order as a single checkout car from various suppliers.
- Access order history at hand and repeat orders
- Communicate with the supplier on preferred delivery times & payment methods.
Thanks to the procurement integration PHARS suppliers can now:
- Create a digital catalogue from scratch and turn products on or off depending on availability
- Create product categories and set flexible amount ordering (litres, units)
- Check order status without manual order processing
- Download order confirmations and access analytics on their sales
Comprehensive training sessions were conducted for PHAR's procurement teams to ensure smooth adoption of the new system. A pilot run was conducted with a subset of members to test functionality before full rollout.
Through this process any additional features that were needed were considered and put in the roadmap for the product. Also PHAR’s platform was white labeled to PHAR’s brand book.
The partnership with PowerAPI led to significant improvements in PHAR's procurement processes. Automated procurement processes reduced manual intervention, leading to faster order placements and fewer errors. Access to real-time data enabled PHAR’s merchants to make informed decisions, improving overall operational efficiency and allowing the system to handle the growing volume of transactions, supporting PHAR's expansion efforts.
By partnering with PowerAPI, PHAR managed to enhance collaboration between buyers and sellers. A convenient solution for both, that boosts efficiency for suppliers and caters to merchants diverse needs. This transformation not only enhanced operational efficiency but also positioned PHAR for continued success and growth in the competitive hospitality industry.
